As Legal Secretary, you play a key role in supporting the Legal department. You ensure that administrative and organizational processes run smoothly and professionally, allowing the lawyers to focus on their core legal activities.
THE POSITION
- Providing comprehensive secretarial and administrative support to the Legal team
- Managing correspondence- attends to ingoing and outgoing correspondence so that involved parties are provided with the information they need without delay
- Drafting, formatting, and proofreading reports for ExCom and Supervisory board
- Scheduling meetings, managing calendars, and coordinating appointments
- Maintaining files and document management systems
- Supporting the team with ad‑hoc administrative tasks and projects
- Supports the department by being available to answer colleagues' questions in consultation with management, so that the departmental staff are able to work efficiently and effectively
- Organises the meetings for the department in question (reserves a room, writes the minutes, draws up the agenda, gathers the required documentation) in accordance with the guidelines so that these meetings can proceed smoothly, and all parties are informed of what has been discussed
- Takes independent responsibility for answering telephone calls (or other departmental queries) and passing messages on correctly in accordance with Van Oord guidelines in order to facilitate clear communication within the department
- Books flights and hotels and arranges local transportation for the department within the Van Oord policy guidelines in order to support/ease the workload of the staff member in question.
- Takes independent responsibility for the correct filing of correspondence and documents in accordance with departmental guidelines so that the department's various documents can be retrieved/accessed without delay.

ABOUT YOU
- Completed education as a secretary or relevant administrative qualification
- Several years of experience in a legal or corporate environment
- Excellent command of the Dutch language and strong English skills (both written and spoken)
- Accurate, discreet, and highly organized
- Proactive, service‑oriented, and able to work independently
- Experience within an international organization is a strong plus
- Able to communicate well
- Able to handle stress of multiple deadlines
- Excellent in functional use of word, excel and powerpoint
