As a management assistant within DRI Operations in Rotterdam, you play a key role in the daily flow of our international and dynamic organisation. Together with the senior secretary, you support the Management Team and the wider Operations teams. This role goes far beyond managing calendars. You are the connector, the forward thinker and the stable factor when things move fast. You get the freedom to take initiative and improve processes in a smart and practical way.
With your sharp eye and proactive mindset, you make sure others can focus on shaping projects that build the future. Even when pressure rises, you stay calm and keep overview. Thanks to you, travel plans, meetings and communication run smoothly. You sense what is needed and act before questions arise. Every day, you create clarity and trust within the team. In this role, you will:
• Manage complex calendars for two Operations Directors who are MT members;
• Manage multiple mailboxes and handle incoming communication;
• Provide administrative support to the team and management;
• Arrange business travel including flights accommodation and visas;
• Collaborate with fellow secretaries to improve processes.
YOUR WORKPLACE
You will join a close and supportive team in Rotterdam, where we work hard and help each other with a touch of humour. You are the first point of contact for the Operations department and work closely with other secretaries within the business unit. You receive trust, responsibility and the space to grow. Together, we build an environment where people feel supported and able to perform at their best.
You bring structure, positivity and care to the team, with a proactive and accurate approach and a strong willingness to contribute.
You also bring:
• MBO working and thinking level;
• At least 3 years of recent experience in a similar role preferably in an international organisation;
• Excellent command of Dutch and English both written and spoken;
• Strong digital skills including Microsoft Office, Outlook and Teams;
• A precise, flexible, independent and proactive working style.
A role where you are truly at the heart of the organisation and enable leaders to shape projects that impact the world of tomorrow.
• A salary that matches your responsibilities and experience;
• Attractive travel allowance (€0.31 per km) and home working allowance (€2.40 per day);
• 32 holidays (of which a maximum of 7 are collective);
• Variable bonus, partly dependent on company results;
• Attractive pension scheme;
• Option for collective health insurance (Van Oord pays for your supplementary package);
• Extensive development opportunities, including a comprehensive online academy via Goodhabitz;
• Communities to join, such as Young Van Oord, Van Oord Women, and the Van Oord staff association;
• Various events and sports activities, such as skiing, sailing weekends, cycling, and motorcycling;
