Visa Desk Employee

Do you have a degree in administration, legal services, or travel management? Strong attention to detail and a proactive approach to solving new challenges related to visa and travel documentation? Then we have an interesting position for you - in our office in Rotterdam - where you can support your colleagues by maintaining and improving visa application processes, guidelines, and documentation.

THE POSITION

As visadesk employee, you will be responsible for handling visa applications for our staff and crew traveling to project locations worldwide. You will coordinate the application process, ensure compliance with international visa requirements, and liaise with embassies, consulates, and internal stakeholders.

This is an office-based position with the flexibility to work remotely for up to two days per week. If you have a keen eye for detail, strong organizational skills, and enjoy working in an international environment, we would love to hear from you!


YOUR IMPACT

  • You will support your colleagues by maintaining and improving visa application processes, guidelines, and documentation (e.g., standard templates, checklists, and procedures). You will work closely with our HR and planning departments to ensure a smooth and efficient visa process for employees traveling to global project locations.
  • You will proactively share your knowledge and expertise with colleagues on various topics, such as visa requirements, application procedures, embassy regulations, and work permit compliance, ensuring seamless international travel.
  • Serve as a key liaison between traveling employees, internal stakeholders, and external visa agencies or consulates, providing guidance and support to ensure timely and compliant visa arrangements.

The visadesk is part of the global mobility team. This team is currently driven by 9 colleagues. All colleagues have their different role and expertise and together we equally contribute towards a global approach for compliant cross border employment, both in our offices and on our projects. 

ABOUT YOU

  • Mbo degree in a relevant field (e.g., administration, legal services, or travel management) or experience in a similar role within a multinational company, immigration services, or a consultancy firm.
  • Strong attention to detail and a proactive approach to solving new challenges related to visa and travel documentation.
  • Eagerness to learn and grow within the role, with a problem-solving mindset and a willingness to ask questions and improve processes.
  • Fluency in English; additional languages are a plus.
