As Secretary Operations in our Offshore Energy department in Gorinchem, you play a central role in the daily flow of our fast-moving, international business. Together with the Senior Management Assistant, you support the Management Team and the wider Operations team in their work across the globe. This is not only about scheduling agendas, it is about being a trusted connector, problem-solver and partner. You will have freedom to take initiative and the space to bring your own ideas on how we can improve the way we work.
With your sharp eye and proactive mindset, you make sure our teams can perform at their best, even under pressure. Thanks to you, travel runs smoothly, agendas stay clear and communication flows easily. You spot what people need and respond with speed and accuracy — making a meaningful difference every day.
You will be part of a small, supportive team in Gorinchem, where humour, teamwork and trust are part of the daily routine. You will be the first point of contact for the Operations department and work closely with other secretarial colleagues across the Offshore Energy business unit. We work hard, help each other out and give you the space to grow your skills.
In this role, you will:
• Manage agendas for managers within the Operations department
• Handle multiple mailboxes and process incoming communication with accuracy
• Provide day-to-day administrative support for managers and the team
• Organise international business travel, including flights, accommodation and visas
• Support with booking medical checks and ordering PPE for employees
• Search and arrange training courses for team members
• Organise department events and team gatherings
• Track and update hours for the departments in EBS
• Maintain, update and clean distribution lists
• Create purchase orders and follow up on payments
• Collaborate with secretarial colleagues across the business unit to keep support smooth and smart
