THE POSITION

As a Project Secretary, you will play a key role within our secretarial team, collaborating with approximately four colleagues to provide essential support to the Founding the Future Programme team. Based in Rotterdam, this programme is dedicated to streamlining and enhancing our daily processes and systems, creating a more efficient, stable, and unified way of working across Van Oord. As a multi-year transformation initiative, Founding the Future will drive significant organisational change, and the programme team is committed to guiding and supporting all Van Oord colleagues throughout this journey.

YOUR IMPACT

  • Manage agendas for the Programme Team, including the Programme Director and Project Managers.

  • Coordinate and prepare meetings, travel arrangements, documentation, and events for project teams.

  • Provide comprehensive administrative and organisational support to the Project Management Office (PMO).

  • Record and distribute meeting minutes, track and follow up on action items, maintain action and decision logs, and assist with risk management reporting.

  • Prepare high-quality presentations and reports for executives and the steering committee.

  • Ensure accurate and up-to-date administrative records within Van Oord’s internal systems.

 You bring:

  • MBO qualification with relevant experience, or a Bachelor’s degree with an interest in programme management and IT systems.

  • A minimum of 5 years’ experience in a comparable secretarial or administrative support role.

  • Strong proficiency in Microsoft Office, with advanced skills in Excel, PowerPoint, SharePoint, and ServiceNow.

  • Excellent communication skills in both Dutch and English, spoken and written.

  • A hands-on, solution-oriented mindset with outstanding organisational and time management skills.

  • The ability to perform effectively under pressure and adapt to changing priorities.
