Diversity of projects

The position


As secretary, you will be part of the secretarial team, consisting of approximately three colleagues. You will assist the projects department by proactively caring for everyday matters to run smoothly.  


You will be part of our Offshore Energy Business Unit in Gorinchem, the Netherlands. This business unit is responsible for installing wind farms for the offshore industry. The projects consist mainly of engineering, design, mediation and construction. Your day to day work will vary, it’s important that you are able to determine priorities and are not caught of guard when the tides change – but manage to be flexible and stay on course. 


Your responsibilities


As a project secretary you provide full secretarial support to and perform administrative tasks for the managers. You schedule and organise work activities, see the big picture and set priorities, anticipate forthcoming events and act accordingly. In short, you will be the backbone of the department.

  • Handling, distributing, drawing up and filing incoming and outgoing correspondence; 
  • Supporting Project Directors/Managers and maintain the agendas of various colleagues;  
  • Being the contact person for all internal and external customers and also deal independently with internal and external telephone calls (including international ones); 
  • Carry out various support activities for the Business Unit, book meeting rooms and international trips, and arrange visas and currency.  


Job requirements


A hands on and experienced secretary. An amicable colleague to work with, with a ‘can do’ mentality. Someone who knows how to set boundaries in a kind but firm way. It is important that you like arranging for everything to run smoothly and enjoy the diversity of the role. Furthermore it is important that you recognize yourself in the profile stated below. You have:  


  • Completed a secretarial training programme at secondary vocational level (MBO) and have worked at least 5 years in a similar position; 
  • A good working knowledge of MS Office, Sharepoint and Teams; 
  • Good communication skills in Dutch and English, both oral and written; 
  • A skill to manage expectations, ask questions and set your own boundaries; 
  • The ability to follow a structure and procedure which has yet been established (e.g. an archive), due to your precisive nature.
