Management Assistant

As Management Assistant for the T&E Director BU DRI, you ensure predictable, reliable and high-quality support across the organisation. You bring structure, clarity and continuity to leadership routines, strengthen collaboration and maintain smooth operational workflows. In this senior role, you act as a trusted partner with strong ownership, discretion and a proactive mindset.

THE POSITION

With your sharp eye and proactive mindset, you make sure our teams can perform at their best, even under pressure. Thanks to you, travel runs smoothly, agendas stay clear and communication flows easily. You spot what people need and respond with speed and accuracy — making a meaningful difference every day.

YOUR IMPACT

Operational Excellence

You ensure visible, accessible and reliable day-to-day support by coordinating calendars, meetings, logistics and documentation. You prepare, record and follow up on BU MT and PLCT cycles, while maintaining disciplined, accurate and fully compliant administrative processes.

Leadership Support
You maintain clear oversight of priorities, deadlines and interdependencies, ensuring leaders are well supported in their decision-making. You prepare structured and accurate input for decisions and protect the Director’s time by filtering requests, managing expectations and ensuring focus on what matters most.

Stakeholder Management
You communicate clearly, professionally and confidently with stakeholders at all levels of the organisation. You ensure smooth information flow, timely alignment and careful coordination, while handling sensitive matters with sound judgement, discretion and full confidentiality.

Process Optimisation
You proactively identify bottlenecks and translate them into practical improvements. By standardising templates, workflows and recurring cycles, you help create consistency and efficiency. You actively support digitalisation efforts and continuous improvement initiatives across the organisation.

Professionalism and Personal Effectiveness
You consistently deliver accurate, high-quality documentation and maintain a trustworthy, approachable and discreet presence. You work independently, prioritise effectively and remain resilient and composed in a dynamic, fast-paced environment.

T&E-Specific Responsibilities

At director level within BU DRI, you take full ownership of calendar and inbox management for the T&E Director. You prepare, minute and follow up on BU T&E Management Team meetings, manage SG planning and documentation, and support cross-BU communication, reporting and documentation to ensure alignment and transparency.

In supporting the Product Lines and teams, you organise PLCT meetings and internal Product Line routines. You handle a wide range of departmental requests, including IT coordination, purchase orders, travel arrangements, meeting organisation and document management. You also maintain distribution lists, Microsoft Teams channels and Product Line Homeport pages to ensure information remains current and accessible.

At departmental level, you support digitalisation, reporting, documentation and annual cycles. You help ensure a predictable SG rhythm and provide structured follow-up on performance routines, contributing to consistent execution and continuous improvement across the department.

ABOUT YOU

You bring structure, positivity and care to the team, with a proactive and accurate approach and a strong willingness to contribute. You have MBO-level working and thinking ability and bring three to five years of experience in a similar role, preferably within an international environment. You communicate fluently in both Dutch and English, both spoken and written, and are comfortable working with Microsoft Office, Outlook, Teams and other modern digital tools. You are flexible in your approach, work with precision and consistently take initiative.
