The position

As a Document Management Specialist at Van Oord, you will join the Document Management System Support Team. This team forms the front office for all document management system related issues. You are responsible for the tooling and processes used on projects and tenders to execute document control effectively. As DMS specialist, your customers are the users of our Document Management System. You work together with your team, IT and external support parties to provide an efficient and effective system. you report to the DMS Support Team Lead (functionally) and the Department Manager Document Control (hierarchically).

Your responsibilities

Your responsibility is to further optimise and lead the adoption of our Document Management System, based on Microsoft SharePoint Online. You'll be instrumental in organizing and conducting user training, continually enhancing training materials and proactively gathering feedback to drive creative solutions that maximize the system's efficiency. 
Your role extends to providing expert SharePoint support, performing administrative tasks and generating valuable insights through statistics and reports. Your ideas and proposals for system improvement will play a pivotal role in shaping our document management landscape, contributing to a more streamlined and efficient organization, so you are responsible for:

Documentation Enhancement: Continuously update and improve documentation related to the Document Management System, ensuring clarity and accessibility for all users;


  • Technical Support: Provide expert-level technical support to end-users, promptly addressing any system-related issues or inquiries to maintain a seamless workflow;
  • System Analytics: Analyze system usage data, generate reports, and extract meaningful insights to facilitate informed decision-making and system enhancements; 
  • Identifying, developing and implementing improvements to the document control system based on user feedback and your own knowledge and experience;

Job requirements

We're seeking a Document Management Specialist with good communication skills, strong analytical abilities and a proactive, team-oriented mindset. The ideal candidate is adaptable and innovative, , complemented by:

 

  • Higher vocational thinking level;
  • Familiarity with/ experienced in document control processes; 
  • Familiarity with document management software and tools;
  • Experienced with SharePoint Online for document management (preferred);
  • Great affinity with IT systems and processes (experience preferred);
  • Great affinity with data analysis and reporting tools such as Power BI (experience preferred);
  • Ability to design, conduct and improve user training sessions and provide expert-level support for system users;
  • Strong skills in creating and updating comprehensive training materials and system documentation;
  • Proficiency in written and spoken English; Dutch preferred;
  • Minimum 32 hrs availability;
  • Living in the Netherlands within 1 hour travelling distance of Van Oord offices.
